Meeting Minutes for May 24th, 2010
The consensus of all of the officers are that everything is fine and they have no issues to report.

We had a request to do a demo at New Haven Elementary for this Friday. We all agreed that it was too short of notice but that we would love to do it next year if possible.

We have had a request from a Pearson's Renaissance Shoppe looking to do some cross advertisings (they put our website addy on their website if we put theirs on ours). We have decided not to do this.

Francis Bean, the autocrat for Metal & Glasswork Symposium is asking for shires to provide Inns for their event. We talked about the possibility and we feel that at this time, there aren’t enough volunteers to commit since this competes with Valor and Labor Day Weekend. I will pass this on to Emma just in case there is a swell in volunteers.

We have been contacted by Fayette once again to be a part of their Festival of Arts which is being held on Aug. 7th. This year because we have enough time, we are including equestrian activities as well as fighting and a large A&S demonstration. We are wanting to make a grand presentation and there were several good ideas presented at the meeting.

We decided to postpone the Champion's Moot to give those who want to enter the A&S Championship more time to prepare. Thus the date of the Moot is Sat. July 3rd at Legion's Park. More details to follow…

The meeting schedule:
  • 5/31/10: Memorial Day - No meeting
  • 6/07/10: Everything you need to know to go to an event-by HL Marie
  • 6/14/10: Lilies War- No meeting
  • 6/21/10: Lilies War Recovery - No Meeting
  • 6/28/10: Business Meeting (Emma steps up as Seneschal)
  • 7/03/10: Champion's Moot at Legion's Park
  • 7/05/10: No meeting
  • 7/12/10: Garb 101-by HG Sile
  • 7/19/10: Business Meeting
  • 7/26/10: No meeting

This concludes the final business meeting of Caillin MacKenzie as Seneschal.

Meeting Minutes for April 27th, 2010
Hello,

Here are the minutes from the meeting last night.

Officer reports: Iseabail wanted to remind everyone that we have Dance practice on Thursday the 29th. Marie wanted let everyone know that archery is back on Tuesday nights at Legion Park unless it is raining and then it is at their house followed by going out to eat somewhere. Esteban gave us the checking balance and told us that the switch over is almost complete. Just waiting on the kingdom exchequer, Brigida. Derdriu is excited about being the new exchequer. Elzebeth (by proxy) reported that the demo was a success and thanked everyone who could make it. Ancelin has had a lot of shire activity in the heraldry report. End of officer reports.

Ancelin had a couple of questions: Fighter marshal- Celegur is still our marshal and has been beating the drum here lately for the fighters to come out and play. We are needing to find a replacement for him. The two obvious candidates are Robert and Thaddeus. The only draw back is that neither are warranted. It was thought that if they could attend war college and Lilies they could get warranted fairly ease. I will be discussing this with them this week. Equestrian Marshal- do we have one? They were unaware the Winifred was back in Columbia. We are unsure if she still wants to be our equestrian marshal. If not, I think that Edaine or Eringlin would be a good candidate for this position. I will be getting with all three to find out what course of action is needed.

Upcoming event: I let them know that Halv was waiting on a couple of the speakers to get back with him re their fees. What we need to work on fairly soon is deciding on which building we want to have the event at and get it reserved before all of the good places are taken. I will be talking with Halv to find out some of the basic thoughts of the event so that we can start planning/scheduling, etc.

Bardic Bedlam Inn: I think we have a cunning plan… Here is the run down: The soups are made and in my freezer. On Sat., I will be delivering to Marie’s the apple pie ingredients, eggs, cheese, pickles, table, paper products, ladles, tongs, kitchen towels, water coolers… I think that is it. On Sat., Marie and Elzebeth will be making bread and the apple pie mixture. I think Emma might come and join in on the fun. On Sunday starting at 9 am, we will be rolling out the dough, making the pies and baking them. We will also be stuffing sausages and smoking them. We will be slicing the cheese. We plan on closing down the shop by 5pm. Hopefully, we can be done sooner. The more people we have helping, the faster we can get done. : )

On Sunday, we will find out who can take my soup and store it as I won’t be available after Wednesday. We believe we have enough coolers between myself, Marie and Elzebeth to store all of the eggs, cheese, sausages, pies and soup.

Things still to get: we will need to get with Edaine and pick up the coolers and the kitchen hand towels.

Things still needing to be decided: Does the soup stay with me until someone comes out to my house on Wednesday or does it get a different home this weekend? I think that covers it. We will finalize everything on Sunday when our main Inn people are there.

Let me know if you have any questions.

IS,

Caillin
Meeting Minutes for March 29th, 2010
Here are the minutes from last night’s meetings, just in case you weren’t able to attend:

Esteban who is our current Exchequer has a replacement, Derdriu. They will be getting together and getting her ready to take over. I will be contacting Brighida, our current Kingdom Exchequer to see if she would like for us to have an audit before the handing over of the checkbook takes place. Audits are very common when you have a change of officers.

Marie, our archery marshal reports that they will be returning outside very soon. She also has a replacement, Jonathon. Who is currently working on becoming a archery marshal.

All other officers have nothing to report.

Reminded everyone that we have a demo on April 16th with the Fortnightly Playgroup.

Fighter Practice is moving back to Peace Park on Wednesday, April 14. We hope to see as many there as possible as this is a great recruiting possibility for us.

Archery Practice is moving back to Tuesday nights at Legion Park.

Dance Practice will be on April 29th. We are going to try and get that on a regular schedule so that we can put it on webpage. Perhaps every 3rd Thursday of the month. We also talked about how we could have informal dancing at Peace Park.

We have a new shire project that include the woodworkers and the sewers. We will making banner poles, indoor portable holes and a Shire Wall of Arms.

We talked about the upcoming event, Viking Age Symposium. Halvgrimr is working hard on getting everything arranged and will be giving us an update on one of the upcoming meetings.

There was a mix up in the funding from the Org for this last Trowbridge rental. We had Esteban write out a check for the total and Kirill will be giving it Cindy at Trowbridge.

We are discussing some fundraising ideas to help bolster our checking account.

Kirill announced that he will be graduating the summer and that we will need to find a replacement for him by August as MRS President.

It was the consensus of the group that we would like to have shire champions once again. We are going to have a shire revel on an upcoming Sat. at Legion Park where we will have a fighting tournament, an archery tournament and an A&S tournament. After all of the champions have been determined, we are going to grill out and have a tasty meal of hamburgers, hotdogs and as many side dishes and deserts as the table can hold. There was even talk of some reveling with the liquid kind afterwards. Needless to say, it will be a very fun day.

Schedule for upcoming meetings:
  • April 12th: Bardic Night presented by Rhodri- Meeting will be at Peace Park unless bad weather. Come dressed in garb.
  • April 16th: Demo at Mizzou for the Fortnightly Playgroup
  • April 26th: Business Meeting
  • May 10th: How to build a bow by Jonathon
  • May 24th: Business Meeting
  • Thanks for the huge turnout last night and it was great seeing all of our newest members.

Scribal Symposium wrap-up:
We had 116 adult members, 34 adult non-members and 7 minors for a total attendance of 157 people. There were 14 classes total with 60 people attending classes. For the financial breakdown, Income: $0.00, Expenses: $30.00 for a total profit of -$30.00. Which isn't bad at all considering this was a free event. We passed around the shire registry. I will be updating it and will have it on the list page as soon as possible. We started discussions on our next event, QPT which is Jan 23 at Memorial Union. We decided upon coins for the site tokens. Thomas, Jonathon and crew are going to do an experiment with the making of said coins on Wednesday night so we are all anxiously awaiting the turn out. Ancelin suggested reserving Jesse Wrench to hold court. We will be doing a walk thru at Memorial Union on Jan 4th so that everyone will be aware of what needs to have happen and where everything is at. There has been a request to get Rhodri into a meeting so we can discuss our event in Oct.
Meeting Minutes for September 28th, 2009

We had a very productive and exciting meeting last night. Thanks for all of you who made it out to our business meeting last night. We had several key items to discuss and announce so I'm hoping that I will remember to put everything down here in the minutes.

Officer reports:
  • Chatelaine: There will be a journalism student who will be conducting interviews for her paper. More info to be announced later.
  • Herald: Congratulations to HL Marie for receiving the Calon Cross. It is a well deserved award and we are very proud of her.
  • Marshall: Fighter practice will be moved to Trowbridge we are hoping for Oct. 21. We will moving practice to Wed. nights to better facilitate our fighter's schedules. Also, with it being on Wed night, hopefully we can encourage our friends from Wyvern Cliffe to come and play with us so that we can have some cool big melees as in the past. Kirill is checking to make sure that Wed night is still available for us. We will let you know as soon as that is confirmed.
  • Archery Marshal: practice outside will become more sporadic as the temperatures get colder and nighttime gets sooner. Anticipate Sunday practices as well as project nights at Thomas and Marie's house as winter approaches. They will also set up times at the Powder Horn as the schedule allows. At the end of Oct. archery practice will be moving back to Tuesday nights.
  • Exchequer: Esteban gave out our balance and reports all is well.
  • Arts & Sciences: Lots to report here, first of Congrats to Iseabail for taking 2nd place at the A&S competition at Gryphon's Fest. Well deserved! We also spoke about bringing back an A&S night to work on both unfinished projects and new projects like for largesse and stuff. I asked the populace to think about it and we will vote on it at the next business meeting. We talked about how there will be upcoming sewing circles and pre-print parties on Sunday so stay tuned for future announcements.
I let everyone know that we have been approved for temporary liquor license and food permit for QPT 2010 so things are going very smooth on that front. More to come after Scribal Symposium. Simonne took over to discuss Scribal Symposium. She is very excited about the classes that are being offered. She requested volunteers for specific jobs and passed out a sign up sheet which I believe she was able to completely fill up. We will be having a pre-event project night on Oct.12 to get all of the packets stuffed and last minute projects made for the event.

I think that about covers it. Looking forward to our upcoming event, Scribal Symposium.

Meeting Minutes for August 24th, 2009

Holy Toledo did we have a great turn out last night! I want to thank everyone who showed up for fighter practice and for the business meeting. I think it is safe to say we had an awesome time as indicated by the amount of foot traffic that stopped to watch us play.

Officer reports:
  • Chatelaine: Elzebeth reported that we have been invited to come play with Bellewode at their demo at Truman State. I believe it to be on Thursday and Friday.
  • Herald: Ancelin gave praise to Derdrui who received her Silver Hammer at Pennsic.
  • Marshall: Celegur needs to know if you have your fighter card and if you need to be on the fighter’s op when he sends in his report. He also said to make sure you can get “ready to rumble” at the regional fighter practice and hopes that the transition to Trowbridge in Oct. goes smoothly.
  • Archery Marshal: Marie reports that everyone is busily getting ready for KCoA’s.
  • Arts & Sciences: Jennifer is excited about being our newest officer. She has some really cool ideas about upcoming projects so please stay tuned.

It was announced that we will start meeting back at Middlebush from here on out unless otherwise noted.

The shire agreed to purchase: 2 wheeled Rubbermaid’s for the tents and shade flys, 1 rubber maid to hold all of the lanterns in (Derdrui is going to make wooden boxes for them so that they don’t get banged up.) and a bevy of water bearing supplies and a tub to hold them all in. We decided to hold off on purchasing painting supplies at this moment. We will reassess the need a little later.

We discussed volunteering for the Scribal Symposium which was very well received. I will relay the info to Simonne, our hard working autocrat.

Schedule for upcoming meetings:
  • Sept. 7: No Meeting Labor Day
  • Sept. 14: Pre-prints at Middlebush
  • Sept. 28: Business Meeting
  • Oct. 12: Event Prep night
  • Oct. 26: Business Meeting/Post Event wrap-up

That's a wrap,

Caillin

Meeting Minutes for April 20th, 2009

Hi everyone,

I wanted to thank everyone who tackled the fierce Spring winds and attended both Fighter Practice and the Business meeting last night. We had Alejandro, Thaddeus, Celegur and Dunham fighting with Kirill, Ancelin and I looking longingly anticipating the time that we too can swing a stick at everyone. We also had a whole slew in attendance for the business meeting and several people stopped to watch the fighting and attend the meeting so I think it will only get better as the weather gets warmer.

Here are the minutes from the meeting in case you weren't able to attend.

Most of the officers were present, nothing new to report except the awards that were given at the Bellewood event to Ilaria for Laurel and Simonne for Lily.

We talked about the work that will need to be done at the William Marshall event both on Friday and on Saturday and that if you could volunteer to help set up the shade fly, dig a fire pit, wash a few dishes or help take down that would be great since this is a shire endeavor, and the shire reaps the benefit not the 4 ladies who are running it.

We will be hosting the Scribal Symposium with a Regional Fighter Practice on Oct.17th at the Geology Building and Peace Park. The inner workings have begun and will go into full fledge mode immediately after Lilies. Be ready to volunteer for Crash Space coordinator, Parking attendants, Set-up/Tear-down crew, etc. We will also be having a project night to make more signs so that no-one can get lost on campus this time. : )

We scheduled more meetings and we will update the shire webpage with these:

5/4: WM project night

5/18: Business meeting/ Final prep for WM inn

6/1: How Sugar was used during the Ages

6/15: No meeting- Lilies War

6/29: Business Meeting

A couple of things that were not discussed at the meeting:

We will now have a sign out list for shire property. With the last inventory, Edaine has a nice list and is creating an Excel spreadsheet that when something is being used, whoever picks it up will sign out for it and noted when returned. This will help tremendously with trying to track down stuff after we have had an event and it is six months later and no one remembers who has it and everyone assumed that it got returned to the quartermaster. : ) This is the same thing that we are doing for the Heraldry book so we are being consistent in our record keeping.

It occurred to me that with all of our new people, we should consider how people are camping at Lilies. In the past, Standing Stones hasn't formally all camped together mostly because a lot of members are involved with either their own household or in a household. And sometimes, by coincidence some have camped together or in conjunction with Amleth Moor especially during Tristram's reigns. I would like to find out that if you are planning on attending Lilies that you have a place to stay or if we need to consider doing something on a shire level. Let me know what you think regarding this.

Here ends the minutes,

Caillin

Meeting Minutes for January 19th, 2009

For those who couldn’t attend last night’s business meeting here is a rundown of what was decided.

  1. Standing Stones will be putting on an exhibit at the Jubilee event called “ Scrolls though out the Ages” It will be a display of AOA level awards from each reign. If you have an AOA or an AOA level scroll and wouldn’t mind loaning it to me for this exhibit, please get with me.
  2. At the Marshall event, we will be running the Inn on Saturday. This will be quite the endeavor so we will be having several meetings to get this organized. Simonne will be heading this up.
  3. We have been asked by the Columbia Parks and Recreation to be a part of their Family Fun Fest at Flat Branch Park on August 19th. We will be doing a full blown demo. More info to come closer to the date.
  4. We have put in a bid for Queen’s Prize Tournament in 2010. I believe that we have a fairly good chance on getting this. I will let you know as soon as TRH’s decide on who will host it.
  5. We have decided that for this year we will host a Scribal Symposium with a regional fighter practice. We are still working on a date.
  6. We will have a Russian-themed high persona event autocrated by Rhodri in Oct. 2010. More details will be forthcoming.
  7. We want to have an Estrella Pity Party on either Sunday Feb. 15 or 16th but are in need of a host. Any volunteers?
Signing off for now,

Caillin

Meeting Minutes for December 1st, 2008

For those who couldn’t make it to the business meeting last night, I wanted to post what we talked about. But first, I wanted to say Thanks for all that came out last night. We had 20 people and it was great! It is nice to have a good consensus of the populace when making group decisions. We had a couple of new people as well as some returning members so it was a well balanced group.

We had the final wrap up of our two events this year. For the KCoA event we made a total profit from the event and the Inn of $473.51 and for the Charlemagne event we had a profit of $341.46. Good job everyone for your hard work!

I am in the process of updating the Shire's Phone Directory. I'm hoping to make the changes and upload it to the list today. Please take a look and let me know of any changes that need to be made.

Unfortunately, we were too late to get funding for Trowbridge this winter, so it looks like we will have to continue either visiting our friends from Wyvern Cliffe's fighter practice (who have acquired the church again) or Lord Thaddeus has graciously offered his office in JC for fp should it become a necessity.

Our traditional Christmas Revel will be held on Dec. 20th at HL Rhodri's house starting at 5:00 pm. We will have a potluck dinner with the shire providing a bounty of yummy meat to partake of. After the dinner, we will have our shire auction so start thinking about what you want to donate for this good cause! Let's see how crazy this revel will be. Hopefully, this one will be one of those that we look back and say "Remember that revel back in 2008 where that crazy Ilaria jumped on the table and did...?" :)

We had quite the extensive discussion about what event we would like to put on for this upcoming year. First, it was decided that we would be interested in having the MRS host a symposium. We decided that we would get a list of possible speakers and vote at the next business meeting on who we would like to have speak for us. So, if you have someone in mind please email me their name and their area of interest. Secondly, it was decided that we wanted to have in late summer or early fall another event. We are looking at either putting in a bid for Crown Tourney or possibly having another high persona event. Rhodri has suggested possibly doing a Russian themed event which would generate a lot of interest especially with our friends from the north.

We have volunteered to run the inn on Saturday for the Marshall-Flower of Chivalry event in B3R. If you are interested in heading up this task or willing to help with it, please contact me.

That's all for now, I'm really looking forward to our next meeting on the 15th where we learn about all of the different traditions of the holidays based on your personas!

HoHoHo,

Caillin
